Brooks Pierce, a business law firm specializing in all aspects of business law, with over 120 lawyers and four offices, seeks a full-time Legal Assistant for our Raleigh office to assist in the Corporate and Transactional practice areas.

Located in downtown Raleigh, the office hours are 9:00a.m. – 5:30 p.m. Some overtime and a flexible schedule are expected. Salary is commensurate with experience and education. 

Primary Responsibilities & Duties include, but are not limited to:

Guest Services Coordinator:

  • Prepare conference rooms for meetings and luncheons
  • Coordinate catering arrangements for social events, firm and client luncheons
  • Daily maintenance of kitchens, café, conference rooms and other as needed

Facilities & Operations:

  • Coordinate office maintenance and vendor access
  • Assist with office moves and new hire setup
  • Review invoices and maintain office inventory
  • Clean and stock offices/carrels for new hires
  • Schedule annual AED training and maintain equipment monthly
  • Maintain attorney furniture, decorating budgets, art and furniture inventory for insurance purposes
  • Review and enter invoices for accuracy and correct pricing

Reception / Office Support:

  • Provide receptionist coverage daily and during absences 
  • Screen and process incoming telephone calls
  • Greet and assist clients and visitors
  • Reserve and setup conference rooms and meetings
  • Manage deliveries and parking validations

Closed Files:

  • Oversee Raleigh and Wilmington databases
  • Process closed-file requests for pick-up and delivery, including labeling, boxing, inventorying, and preparing files for closure
  • Train staff on procedures for closing files
  • Maintain binders of historical closed file data
  • Update and maintain master database of records at storage

Secondary Responsibilities & Duties include, but are not limited to:

  • Backup service center during absences

Knowledge and Skills used in carrying out Responsibilities and Duties include, but are not limited to:

  • Organizational skills including ability to multi-task and prioritize and ability to follow detailed instructions
  • Ability to maintain interpersonal and client relationships
  • Ability to perform duties accurately and promptly

Preferred Qualifications:

  • Strong organizational and multitasking skills
  • Professional communication and attention to detail
  • Ability to work independently and follow instructions
  • High school diploma required
  • Basic computer skills and valid NC driver’s license preferred
